Stock Transfer is a process designed to balance stock levels by moving product quantities between branches or from the warehouse to branches to cover shortages.
Methods of Stock Transfer in Rewaa
Transfer stock from one branch or warehouse and receive it in another branch.
Send an initial stock request to other branches. For more details, click here.
Step 1: Create a New Transfer Inventory
Go to Products & Inventory > Stock Transfer > New Transfer Stock.
Select the source of stock (the branch or warehouse sending the products).
Select the destination (the branch/branches receiving the products).
Add products:
Manually:
Search for the product name or SKU.
Enter the quantity you want to transfer.
Repeat the steps and add all products and details.
Using Excel file:
Click Import Products.
Click Import Instructions and read them.
Click Download Template.
Add product name, SKU, and transfer quantity in the Excel file.
Upload the file to the platform.
ℹ️ Note: A composite product consists of several items. When added to the transfer order, the raw materials inside it will be transferred.
💡 Example: Product name: Cake. Each piece includes (1 flour, 2 eggs, 1 milk). If you transfer 5 cakes, the raw materials transferred will be: (5 flour, 10 eggs, 5 milk).
Create the transfer order:
Click Transfer. The request will be sent to the other branch and its status will become Waiting Receive.
⚠️ Warning: Transfer orders cannot be edited after being sent. Make sure the data is correct before creating the order.
ℹ️ Note: If a product is tracked by serial number or batch number, the system will ask you to enter the tracking details.
To print a transfer order in Pending Receipt status:
Click the (🖨️) icon in the Filter column.
Select the data you want to print.
Click Print.
Select the printer name > Click Print.
Step 2: Receive the Request at the Other Branch
When the request arrives, you can:
Receive the full quantity
Receive a partial quantity
Reject the request
Steps to Receive or Reject:
Go to Products & Inventory > Stock Transfer.
Click the invoice number.
Add the following data:
Product receipt date (cannot be backdated).
Received quantity (full or partial).
ℹ️ Note: The date is for reference only and will not affect the date when the products are added to the receiving branch.
Receive the Full Quantity
Enter the received quantity.
Click Receive.
Confirm the receipt by clicking Confirm.
To print an invoice with Accepted status:
Click the (🖨️) icon in the Filter column.
Select the data you want to print.
Click Print.
Select the printer name > Click Print.
Receive a Partial Quantity
Enter the received quantity.
Click Receive.
The system will display the total sent quantity, received quantity, and rejected quantity.
Click Complete Receipt.
⚠️ Warning: Once the request is received, it cannot be modified. Make sure the data is correct before confirming.
The request status will become Partially Accepted, the received quantity will be added to the receiving branch, and the rejected quantity will be returned to the sending branch.
To print an invoice with Partially Accepted status:
Click the (🖨️) icon in the Filter column.
Select the data you want to print.
Click Print.
Select the printer name > Click Print.
ℹ️ Note: When a transfer request is partially accepted, the rejected quantities are automatically returned to the sending branch.
If products are damaged during transfer:
Click the request number.
Click Delete Rejected Products.
The system will automatically adjust the inventory and deduct the damaged quantities.
Rejecting the Request
Click Reject.
Select a rejection reason.
Confirm the rejection by clicking Reject.
The products will be returned to the sending branch inventory, and the request status will change to Rejected.
To print an invoice with Rejected status:
Click the (🖨️) icon in the Filter column.
Select the data you want to print.
Click Print.
Select the printer name > Click Print.
FAQs
1. Can I save invoices as PDF?
Yes, you can:
Click the (🖨️) icon in the Filter column.
Select the data you want to save > Click Print.
In the Destination field, select Save as PDF.
Click Save.
2. Can I receive requests for more than one branch at the same time?
Yes, you can:
Check (✔) the invoices you want to receive.
Click Actions.
Select Receive All Products.
Click Confirm.
3. Can I save a transfer request and complete it later?
Yes, click Save as Draft.
4. I added a user with Stock Transfer permissions, but they cannot see transfer requests from branches. Why?
The user must be granted access to the branches involved in the transfer.
Go to Settings > Users > ⚙️ > Edit User.
Select the branches where stock transfers take place.
Click Save Custom User.
