An initial inventory transfer request is submitted by a branch that needs stock for a specific product to other branches or warehouses. When the request is accepted, the quantities are transferred in the platform to the requesting branch.

ℹ️ The platform allows you to create an initial inventory transfer request for multiple branches at the same time. The system will automatically generate a transfer invoice for each branch separately so you can send quantities according to each branch.
⚠️ Warning: Inventory transfer is a process to move quantities only. It does not transfer costs in the accounting system or chart of accounts.
Step 1: Submit an Initial Inventory Transfer Request
Go to Products & Inventory > Stock Transfer > Request Stock.
Select the destination branch (the requesting branch receiving the quantity).
Add products:
Manually:
Search for the product name or SKU.
Enter the required quantity.
Repeat the steps and add all products and details.
Using Excel file:
Click Import Products.
Click Import Instructions and read them carefully.
Click Download Template.
Add the product name, SKU, and transfer quantity in the Excel file.Upload the file to the platform.
ℹ️ Note: A composite product consists of multiple items. When added, the request will include its components.
💡 Example: Product name: Cake. Each piece includes (1 flour, 2 eggs, 1 milk). If you request 5 cakes, the system will generate a request for the raw materials = (5 flour, 10 eggs, 5 milk).
Click Request.
To print a transfer order in Waiting Send status:
Click the (🖨️) icon in the Filter column.
Select the data you want to print.
Click Print.
Select the printer name > Click Print.
Step 2: Accept the Request and Send the Required Quantity
Click the invoice number.
Add the following details:
Source of inventory (the branch sending the quantity).
Transfer quantity (the quantity to be sent).Notes (optional).
Click Send.
ℹ️ Note: If a product is tracked by serial number or batch number, the system will require you to enter tracking details.
To print a transfer order in Pending Receipt status:
Click the (🖨️) icon in the Filter column.
Select the data you want to print.
Click Print.
Select the printer name > Click Print.
Step 3: Receive the Sent Quantity
Click the invoice number.
Add the following details:Received quantity (full or partial).
Receipt date.
ℹ️ The date is for reference only and does not affect when the products are added to the receiving branch.
Click Receive > Confirm.
⚠️ Once the request is received, it cannot be modified. Please verify the data before confirming.
To print a transfer order in Accepted status:
Click the (🖨️) icon in the Filter column.
Select the data you want to print.
Click Print.
Select the printer name > Click Print.
FAQs
1. Can I create an initial inventory request for two branches at the same time?
Yes, you can:
Select both branches in the same request.
Enter product details for each branch.
Click Send.
The request will be sent to each branch separately and can be accepted following the steps in this article.
2. Does the platform send a notification for an initial inventory request from another branch?
No, the receiving branch will not get a notification. The request will appear in the platform under Inventory Transfer with status Waiting Send. You must inform the responsible employee to accept the request.
3. Can I accept the request and send only part of the quantity?
Yes, you can:
Enter the quantity you can send in the Transfer Quantity field.
Click Send.
Complete the steps to receive the quantity (see Step 3 in this article).
4. Does Rewaa physically transfer inventory, or is the “initial request” for documentation only?
The physical transfer of inventory is done outside the platform. The platform’s process is for documenting the request, updating quantities, and tracking the operation.
5. Can I reject an initial inventory request that is in Pending Dispatch status?
Yes, you can:
Select the source branch (the branch rejecting the request).
Click Reject.
The request status will change to Rejected.
6. Can I save invoices as PDF?
Yes, you can:
Click the (🖨️) icon in the Filter column.
Select the data you want to save > Click Print.
In the Destination field, select Save as PDF.
Click Save.
7. I added a user with inventory transfer permissions, but they cannot see transfer requests from branches. Why?
The user must be granted access to the branches involved in the transfer.
Go to Settings > Users > ⚙️ > Edit Member.
Select the branches where inventory transfers take place.
Click Save User Data.
8. Do I always need to create an initial request if a branch needs additional quantities?
