How to View and Understand the Chart of Accounts

Learn how to access the Chart of Accounts, export it, view account details, and generate account statements.

The Chart of Accounts allows you to manage and track all accounts in the platform. In this article, you’ll learn about the main available options.


Access the Chart of Accounts

  1. Go to Accounting > Chart of Accounts.

  2. The chart will display with all accounts listed.

Search for an Account

  • Search using the account name or account code.

Identify the Account Type

  • Credit.

  • Debit.

View Account Balance in Rewaa

  • In the Balance in Rewaa column, you can see the total balance of the account.

  • To check the balance of a specific account, click the arrow next to the account name to display its sub-accounts.

Export the Chart of Accounts to Excel

  1. Click Export.

  2. The chart will be downloaded as an Excel file to your device.

View Account Details

(Displays the last 10 transactions on the account.)

  1. From the Chart of Accounts, click the 👁 icon next to the account.
    The account details will appear, including:

    • Closing Balance: the total amount recorded in the account.

    • Description.

    • The last 10 transactions.

ℹ️ Note: The balance is displayed as a cumulative total.

View Account Statement

(Displays all financial transactions from the opening balance until now, with the option to select a specific period.)

  1. From the Chart of Accounts, click the 🗒 icon next to the account.

  2. Select the period and location.

  3. To export the statement as Excel or PDF:

    • Click Export > choose the file format you prefer.

    • The file will be downloaded to your device.


FAQs

1. Can I view more than 25 transactions in the account statement page?

Yes. You can change the number of displayed transactions from the dropdown field, up to 200 per page.

2. What does the opening balance in the account statement and account details mean?

It is the balance entered manually when you started using the system, or the closing balance from the previous financial period.

3. What does the reference number in the account statement and account details mean?

It is the unique reference number of the transaction, automatically generated by the system after it’s added.

Example: transaction type: New Expense, reference number: Exp-94. You can click it in the account statement to view transaction details.
